+ Deposits
A $250 non-refundable deposit is required to secure all bookings. The deposit applies to your total balance and is never refundable, including for cancellations, rescheduling, or failure to meet payment deadlines.
+ Payment & Balance Due
The remaining balance is due 7 days before your scheduled event (unless otherwise agreed in writing). Failure to pay by the deadline will cancel your booking and forfeit the deposit. If you paid in full and later cancel, eligibility for a refund follows the cancellation policy below.
+ Cancellations by Client

+ Rescheduling
- One reschedule is permitted at no charge if requested at least 7 days in advance.
- The rescheduled event must take place within 6 months of the original date.
- Additional reschedules require a new deposit and are subject to availability.
+ Cancellations by XGE
XGE may cancel or reschedule due to extreme weather, unsafe conditions, equipment failure, staffing issues, or unforeseen circumstances. If XGE cancels, you may choose either: (1) a full refund of all payments, including the deposit; or (2) rescheduling at no additional cost. XGE is not responsible for indirect costs (e.g., lost income, venue expenses).
+ Weather Policy
- Events are held rain or shine.
- If severe weather (lightning, flooding, snow/ice, dangerous winds) makes operation unsafe or impossible, XGE may pause, delay, reschedule, or cancel.
- If XGE cancels due to unsafe weather, you may reschedule at no charge or receive a refund of all payments except the deposit.
+ On-Site Termination
XGE may end services immediately without refund if: unsafe, destructive, or intoxicated behavior occurs; alcohol or drugs are present inside the gaming truck; the site is unsafe/inaccessible or lacks adequate space/power; or Terms & Conditions are not followed.
+ Add-Ons & Special Services
Payments for add-ons (extended hours, yard games, décor, etc.) follow the same refund rules as event bookings. No partial refunds are issued if an add-on goes unused by client choice.
+ No-Show Policy
If the client/host is absent or unprepared at the scheduled start time and the event cannot proceed, it is treated as a cancellation within 14 days. No refund will be issued.
+ Refund Processing
- Approved refunds are issued to the original form of payment within 10–14 business days.
- “Business days” means Monday–Friday, excluding U.S. federal holidays.
- Bank/payment provider timelines may affect when funds appear.
