These Terms & Conditions (“Terms”) govern all bookings and services provided by Xtreme Gaming Experience (XGE). By booking with us, you acknowledge that you have read, understood, and agreed to these Terms.

Definitions
  • Company: Xtreme Gaming Experience, its employees, agents, and representatives.
  • Customer / Host: The individual or organization booking the services, responsible for all participants.
  • Participants / Guests: Anyone engaging in the gaming or entertainment activities.
  • Gaming Truck: The mobile video game theater operated by XGE.
  • Equipment: Consoles, TVs, controllers, décor, yard games, tents, and all property owned or supplied by XGE.
  • Add-On Services: Optional items such as tents, yard games, or décor requested beyond the standard truck setup.
  • Venue: The physical property, driveway, or location where services are provided.
  • Event: The booking made by the Customer for gaming services on a specific date and time.
  • Services: The entertainment, setup, and related offerings provided by XGE under these Terms.
Scope of Services
  • XGE provides a mobile video game theater with consoles, televisions, games, controllers, and related equipment.
  • Setup and takedown of the truck and equipment are always included (and not counted toward event time).
  • Add-On Services (yard games, tents, décor, etc.) may be included if requested at booking.
  • XGE staff will operate and supervise gaming equipment, assist with setup, and provide basic instruction.
  • Staff supervision is limited to equipment use. XGE does not provide childcare, discipline, or enforcement of parental rules.
  • XGE may update or modify available games, consoles, or equipment at any time; specific game titles or online features are not guaranteed.
  • Services do not include food, beverages, venue rental, childcare, or items not expressly listed.
1. Booking, Payments & Reservations
  • Deposit: A non-refundable deposit of $250 is required to secure your event date and time.
  • Final Balance: Full payment is due no later than 7 days prior to the event.
  • Failure to Pay: If the remaining balance is not paid on time, the booking will be canceled and the deposit forfeited.
  • Reschedules: Deposits may be applied one (1) time only toward a rescheduled event if requested in accordance with these Terms. Additional reschedules require a new deposit.
  • Minimum Duration: All events require a minimum of 2 hours.
  • Accepted Payments: Cash, major credit/debit cards, PayPal, and other methods as specified.
  • NSF/Returned Payments: Subject to a $35 fee.
  • Refunds: Governed by the cancellation policy below.
2. Event Time, Overtime & Travel
  • Event time begins and ends at the scheduled times, regardless of guest arrival.
  • Late arrivals or delays caused by the customer do not extend event time.
  • Overtime: If available, overtime will be billed at the current hourly rate and must be paid before it begins.
  • Travel Fees: Travel within the service area is included. Events outside the area may incur additional fees disclosed prior to booking.
3. Cancellations, Rescheduling & Weather

Customer Cancellations

  • More than 14 days before the event: Refunds of all payments except the deposit.
  • Within 14 days of the event: All payments are forfeited.

Rescheduling

  • One-time reschedule permitted if requested at least 7 days in advance.
  • Rescheduled event must occur within 6 months of the original date.

Company Cancellations

  • XGE may reschedule or cancel an event due to extreme weather, unsafe conditions, equipment failure, or other unforeseen circumstances. Customers may reschedule or receive a full refund (including deposit).

Weather Policy

  • Events may proceed in light rain if safe access and parking are available.
  • Events may be paused, delayed, or rescheduled if severe weather (lightning, flooding, snow/ice, heavy rain) prevents safe operation.
  • The Company determines when weather conditions are unsafe.
  • Customers must provide an alternate safe location (e.g., covered parking, indoor setup) if available.
4. Space, Parking, Accessibility & Power
  • A safe, legal parking space of approximately 60 feet is required.
  • Parking must be on a flat, level surface free of obstructions (branches, wires, tight turns).
  • Locations with steep grades, narrow driveways, or stairs cannot be accessed.
  • Customers are responsible for ensuring the site is safe, hazard-free, and accessible.
  • XGE provides a self-contained generator for standard events.
  • If customer power is required, a dedicated 20-amp outlet within 100 feet must be available.
  • If space, access, or power are inadequate, the Company may cancel without refund.
5. Supervision, Conduct & Behavior
  • An adult representative of the booking party must be present whenever minors participate.
  • No food, drinks, smoking, vaping, alcohol, or drugs are allowed inside the gaming truck.
  • Services may be refused or stopped if guests are intoxicated or unsafe.
  • Damage caused by guests to equipment or property is the responsibility of the booking party.
  • Children under 6 years old must be accompanied by an adult inside the truck.
  • Aggressive, disruptive, or unsafe behavior may result in immediate termination without refund.
  • Waiver Requirement: All participants (or their parent/guardian if under 18) must complete and sign a waiver prior to gaming.
6. Games & Content
  • Games rated E (Everyone), T (Teen), and M (Mature) are available.
  • The booking party/parent/guardian is responsible for approving which games are permitted.
  • The Company is not responsible if minors play games above parental preference.
  • Game selection and online features are not guaranteed at every event.
  • All participants engage at their own risk.
7. Liability & Indemnification
  • XGE is not liable for injuries, accidents, or property damage occurring during or after the event.
  • The booking party assumes full responsibility and agrees to indemnify and hold harmless the Company against any claims or liabilities.
  • Guests participate entirely at their own risk.
8. Equipment Malfunction & Service Guarantee
  • The Company ensures all equipment is tested prior to events.
  • If technical difficulties occur, staff will resolve them as quickly as possible.
  • If part of the event is affected, a partial credit or refund may be issued at the Company’s discretion.
  • A full refund is only given if the event cannot proceed at all.
9. Early Termination of Services
  • Severe or unsafe weather arises.
  • Guests engage in unsafe, destructive, or intoxicated behavior.
  • Adequate space, access, or power is not provided.
  • Terms & Conditions are not complied with.
10. Media & Photography
  • The Company may capture photos/videos during events for promotional use.
  • Customers may opt out by sending written notice via email prior to the event or informing the Game Coach before the event begins.
11. Additional Terms
  • Blackout Dates: Services are generally unavailable on major holidays unless otherwise arranged.
  • Force Majeure: The Company is not liable for disruptions caused by natural disasters, government restrictions, pandemics, power outages, or circumstances beyond control.
  • Privacy: Customer information is used solely for booking/communication. Payment data is processed securely and never sold or shared.
  • Intellectual Property: All logos, branding, website content, and promotional materials remain the property of XGE. Unauthorized use is prohibited.
  • Governing Law: These Terms are governed by the laws of the state in which the event occurs.
Acknowledgment
  • Have read, understood, and agreed to these Terms & Conditions.
  • Accept full responsibility for all guests during the event.
  • Acknowledge the risks associated with gaming and motion activities.
  • Approve all game ratings/content to be made available during the event.
  • Understand that making a booking (deposit or payment) constitutes your legal acceptance of these Terms.
